Your Role at Cabot

The IT Asset Management Administrator is responsible for administrative duties as to support / place requisitions on behalf the Digital team and sites for digital components (hardware, phones, software, etc.), ensure delivery ‘s coordination in a timely and coordinated manner and support the inventory management. As such, the role provides support in the day-to-day operational management of digital requisitions. The has a pivotal function coordinating between End user (Sites / Individuals), Digital Team, S2P team, and or MSP (external party).

How You Will Make an Impact

  • Asset Management Administrative duties - Maintain and monitor hardware/software inventory database to ensure compliance, apply standard ITSM policies. Support the Digital Asset Manager in meter and review software and hardware utilization.
  • Local Site Hardware management – Connect with all Field services teams inventory level of stock of computers and accessories and place digital requisitions to replenish the stock to ensure sites have adequate spares. Work with S2P team to Track orders and ensure timely delivery, update internal databases with order details (dates, vendors, quantities, discounts), Liaise with end user (site/individual) to ensure all products arrive in good condition, circle back with the digital team to close ticket in ServiceNow and confirm receipt to pay our invoice. Maintain and monitor inventory of hardware pieces and identify purchasing need
  • Local Site digital supply delivery management – Inform Field Services team about the planned delivery date and manage at site level the scheduling in a timely manner. Is accountable to manage site team member are identified and available at times of delivery
  • Suppliers’ relationship – Connects with local suppliers and request quote at times where Digital inventory is not accessible through existing catalogues. Identify alternative items suppliers might have that may meet customer requirements. Evaluate offers from vendors (price, delivery time, etc.) Maintain asset records. Work with S2P to Follow-up with suppliers, as needed, to confirm or for change orders.
  • Computer Lifecycle monitoring – Is accountable to monitor, analyze and forecast appropriately Computer lifecycle. Is accountable to make proactive recommendations
  • Software Management –the Digital Requisitioner Coordinator is accountable to process one off license’s requisitions (Adobe, JMP, Microsoft 365 …). Is accountable to liaise with Cognizant and coordinate timely software installation. Place requisitions for one-off licenses and confirm with our MSP SW installation Maintain and monitor an inventory of spare licenses and identify purchasing needs
  • Vendor Portal – is accountable to place requisitions (Licenses, assignments, or purchase.) using vendor portals (AT&T, Adobe …). As such acts as the main reference point for any vendor portal operations. Manage license, assignments or purchases thought vendor portal
  • Cell phone management – Acts as the point of reference for the end users so that they are proactively informed about delivery date and coordinate a few operations in a timely manner. like - phone numbers transfer, deactivations of former phone… are addressed AT&T is another example of vendor where all interactions for mobile phones are through their portal. Monitor cell phone bills and ensure end user benefit from the right plan. Support phone contract and device management through vendor portal (would include ordering a new phone, deactivating phones, transferring of phone numbers, billing questions, etc.)

What You Will Bring to Cabot

  • Bachelor’s degree or equivalent experience.
  • 2+ years of experience working in a technical support services environment.
  • Knowledge of COUPA will be considered as an advantage.
  • Excellent customer orientation.
  • Detail orientated with superior organizational skills.
  • Advanced Microsoft Office skills (Word, Excel, Outlook and PowerPoint).
  • Effective communication and interpersonal skills (both written and verbal).
  • Team player with the ability to collaborate with others.
  • Ability to work in a fast-paced, evolving environment.
  • Fluent in English.

  • Salary: 1300 - 1600 EUR Gross
